Matters arising.

Liz made contact with the lady that said she was interested in being the minute’s secretary.  The lady is now doing something else so is unable to assist. 

No-one present was interested in or knows of anyone else that would take this on.  As it stands there are 3 options:
1.     Obtain a volunteer to be the minutes secretary
2.     We pay someone to do the job, which could prove expensive
3.     We have no minutes, which mean the meetings wouldn’t be proficient or professional, so there would be no league.

Ideas
·       All those present asked to actively seek a new minutes secretary
·       Letters to all the captains asking them to do the same, including a poster to put up in pubs asking for support.  (Poster to also include recruiting team members for skittle teams)  - Sue asked to do a letter and mail the aforementioned.

Liz advised that due to all the postponed games it may be necessary to extend the league cut off date.

Since January Corrine has made a note of the teams that have been played short.  On the 16th and 27th January 9 teams played 1 or 2 players short!

Ladies that hadn’t been to previous meetings stated that they wish that the lowest scorer play as the missing player. 

Graham advised that he had been discussing the matter of changing rules with other teams and they have said that if the rules are changed they would set up their own league.

Liz advised again that nothing will change without the agreement of the AGM.  Facts and ideas are being put together to enable the Management Committee to make a decision about a recommendation.

Facts to consider...
·       Possible change of rules
·       Give teams help to obtain team members - e.g. Make a pack
·       Brain storm ideas:
Ø  Include pubs to find people, they need us as much as we need them..
Ø  Captains ask their teams to find more members:
o   Face book             
o   Friends
o   Family
o   Texts
o   Work
o   Clubs

Liz to put a poster together to put up in the clubs that can be sent with the letter that Sue is going to send all the Captains.

NB JULY’S MEETING - Schedule to discuss the problem of recruiting to overcome the playing short or postponing matches ready to put forward to AGM.

There are 3 accounts and each have the following amounts:

·        Current Account:               £963.36

·        Deposit Account:               £1335.30

AOB

·       Val Poole advised that her team had to cancel a game and have asked the other team for a date for the match but they still haven’t come back with a date.

Advice was sought; everyone agreed that the team that actually cancelled would be responsible for chasing and rebooking the match.  If still no response bring to the next meeting for assistance.

·       Marie Curie Summer League forms to be into the Committee by 10th April 2014

Forms are all up to date on the website and can be printed off or they are behind the bar in the Conservative Club.  All forms have now been updated that are to be found online.

Evelyn has kindly printed off lots of forms but they need to have a request for email addresses.

·       THE BASH - Penarth Skittle League Holme Towers Party.  Liz is going to sort out the Poster and the tickets.  The price for the tickets will be £6 which includes entry and food.  Peter Wickham is happy to do the food again.

·       Penarth Times

We are still experiencing problems with the Penarth Times.  Liz is going to write to the Editor as the Chair of the Penarth Skittle League asking them for their support and point out that there is a huge amount of Penarth Times readers that only buy the paper to see the updates of the Skittle League. 

There has been a takeover of new staff, including the Editor at the Penarth Times who may not know this.                                                                                                                      

There is 5 Divisions of the Penarth Skittle League, maybe we are too big for them to support us?



The next meeting will take place on Thursday 13th March 2014 at the Conservative.

Matters arising..

Mike confirmed that he is still awaiting a copy of the Cardiff Skittles rules and regulations.

Apparently the Cardiff league allows anyone registered to play for any team so long as it’s for another league.

Graham expressed that the Penarth League is the best league in South Wales.  The rules state that Penarth League games MUST come before Cardiff games.


Liz confirmed that this is an investigation, and is being carried out to see if we can assist teams who are having to cancel games.  Games have been played with only 6 players on one team...  Men’s teams have at least 2 by’s and are having terrible trouble getting new players. Liz stated that we need to look at a range of options, from rule changes, closer working with clubs and pubs and help with recruitment, and no decisions will be made without the agreement at the AGM.

A few people agreed that sending letters into the Penarth Times have given good response to recruit new team members.

Losing skittle teams also puts pressure on pubs and clubs staying open.  Many may close down if teams dwindle.    Llandough had 6 teams and now only have 3!!  Any more pulling out will most definitely close the club.

Mike said that the ‘Rock & Bowlers’ have claimed the match, which his team are not happy with as it was agreed that the captain would come back to Mike with further dates to play the game.  Gerry rang Terry to claim the game, giving the reason that Mike’s team didn’t turn up.  Mike stressed that he was told by Gerry that he would call him back with potential dates when his team would like to play this game.

It was agreed that a meeting would be arranged by Terry with Mike, Terry, Liz and Gerry White before the next meeting, preferably in the next week.  Provisionally try for 7.30pm on Tuesday 14th January, at the Conservative Club.

Men's fixture Secretary’s report:

Terry has had an awful month and has been unable to collect the trophy in person and apologises for this.  Terry is going to ask for the Trophy to be posted to him.

Terry has put forms behind the bar in the Conservative Club, for the Summer competitions but the dates are incorrect.  Terry has been unable to print these as his printer isn’t working.

The secretary said that it would be more cost effective to print forms commercially than print at home. Terry is to email Sue the form for the Summer competition and she will get quotes to get it printed without dates so these can be used each year.

Ann Young brought the statement as she is still the main signatory that confirms differing amounts.  Liz is to arrange for Chris, Liz and Ann to get together to go through the bank account to match up with the written accounts.

AOB:
Sue has resigned from her skittle team and would like to resign from the Meetings Secretary.  Sue is still a registered player and will keep the position until someone is found to take her place.  Liz had someone approach her that may be willing to do this. 

The Penarth Times have made a mess of the tables through no fault of the Fixtures Secretary’s.  The correct tables are placed on our website which are correct.  Once the list of team captains email addresses are up and running the forms and tables can be emailed for each team to print out and be kept more up to date with what is happening in the league.

A suggestion was put forward to print the tables out on the back for the Agendas and to be handed out at each meeting - this was agreed.  It will be the team captain’s responsibility to attend meetings to obtain this.
The wrong entry was put down for the Cons A and the Cons B, there was a mix up with the Home and Away Team - Terry is to look into this and put right.

Matters arising..
The Penarth Times have been giving much better articles and space since Corinne had a word with them.  It was pointed out that there are many articles in the ‘Penarth’ Times in respect to ‘Barry’??

A few people agreed that it would be good to write to the Penarth Times and complain that there are too many Barry articles in the Penarth Times not leaving enough space for the Penarth news especially the Skittles League scores that players buy the Penarth Times to see what has been published.   Most skittle articles sent to the Penarth Times are published online and are printed verbatim; then Penarth Times edit and omit items from the articles sent into them.

Liz asked if any letters sent to the Penarth Times complaining could be also sent to her so she can put them on our website for others to have an idea how to complain to the Penarth Times.

Corinne has received a couple of complaints that people with scores e.g. 32 were not put into the Penarth Times.  They were put online Penarth Times.

The Skittles have been a part of the Penarth Times for many years and many people in Penarth buy it to see their scores printed to show who has been the best and the worst.  It’s part of the game joking with each other when they have a bad or an excellent, they will be put in print.. 

It was also suggested that in the past a news letter sent to all the clubs for teams to see.  This would be a lot of work.  Once a list of email address have been put together this kind of thing can be sent around to each Captain to show their teams..

There has been a problem with the website and those complaining about it should come to the Delegates meetings to put forward their views.

Women's fixture Secretary’s report:

Team cards are still arriving late.  2nd class stamps are used and can take over a week to arrive.  When posted, the cards can be mingled into the Conservative Clubs mail that is not manned and not opened every day so can take time to be passed into the skittles post-box. 

All teams need to know: could anyone who is late posting their card should call Terry or Corinne and if possible scan and email the card to them.

If the cards are not received by 12pm on a Saturday they will not be entered into the Penarth Times write up.

Men's fixture Secretary’s report:

Terry confirmed that a large amount of teams are playing short of players.  Last week there were 6 teams, one team played with only 6 players.  Everyone was very worried about the declining numbers.
Everyone expressed their worries about this and would like the matter of the lowest player to roll again if they are one player short? 
·       Only to be used on one player short
·       Call it a Joker - 2 chances per half year or Quarter 


Mike advised that this kind of thing is used in the Cardiff League and he agreed he would obtain a copy of the rules and regulations in respect to this.  If possible find out if the Secretary could be a guest at our next meeting in January and advise us on this.

It is feared that this will be a downhill spiral. 

This will be discussed further at the next meeting.


Treasurer's report: A full report will be prepared ready for the next meeting in January.  Sue is going to email the spread sheet she made with Ann Young to show the accounts.

AOB:
Mike advised that he asked for a game to be postponed with the Rock N Rollers.  He offered them 2 dates, they couldn’t do the one, then he phoned them to say they couldn’t make the other date and was waiting for them to suggest more dates.  His team members found out this week that they have claimed the game.  Mike and the team are not at all happy with this, especially as they were not told of this happening!  They apparently have lodged that they did not arrive to play a game but Mike has a phone bill to prove he made the call to cancel that game.  Liz asked Mike to discuss this further with Terry, if this cannot be sorted out by the 3 parties, the 2 teams will be asked to attend a meeting to sort this out.

Corinne advised that there have been complaints in respect to the Clive in as much as it has such a small area causing difficulty playing without arms going over the line.  Ann added that if the cupboard door is open it is much better but the landlord will not allow this.  But another team was asked for suggestions to make the place better for the teams and was advised they can have the door open. 

It is up to the Captains as part of their job at the home alley, to sort out any problems at the venue. 

Any throwing over the line should again be sorted out by both Captains on the night - if not bring it to the meeting.

As Captain in the Clive, Liz will look into having the cupboard opened to make it easier to throw.

The matter of cheating was again brought up.  It is not always possible for both teams to stay on the alley so gives the chance of teams cheating.  All agreed we are playing a game and should go on trust.  Those who do cheat to win have to live with what they are doing. 

Joan was approached ask if an 11 year old could be a sticker upper.  Joan advised that they must be over 14 years old to do this.  The person was not happy and demanded a copy of the Rules - Joan advised that they come to the Delegates meeting to obtain one. 
Concerns were raised that due to teams not starting on time which is supposed to be 8.15pm, can make the sticker upper to be there up to 10.45pm.  It is not in the rules on what time the game is to finish and it is up to the parents to state what time their child is to go home.  Liz advised that years ago she looking into this with the council and they advised to leave it as it is as long as possible as the council would probably insist on 18 years plus.

Terry read out a letter received from Marie Curie, thanking The Penarth Skittle League for their donation and receipt of £2,000.  Liz is going to scan the letter which goes on to list what it will be spent on, and put it on the PSL website.

Minutes last meeting: All present read the previous meeting's minutes, there were no matters arising from the minutes.  Muriel Wills proposed and Denis Lets seconded that the minutes are true and correct.

Women's fixture Secretary’s report: Corrine spoke to the Penarth Times due to not getting results printed in there regularly lately.  They advised that they have had problems in respect to the space availability.  We will only go in if they have available space.  Since Corrine has spoken to them they have been in every week since.

Tonight’s Delegates meeting was advertised in the Penarth Times but not with the results so looks like not many people saw it.. 

Sue hasn’t received any more email or mobile numbers.  Corrine agreed to send all those she has and Sue to chase Terry for those he has.

Corrine brought up that team result cards are not turning up on time - they need to be posted by Wednesday morning at the latest.  If cards are not in the box by 12pm Saturday they will not be included.

Teams need to be aware that they post at their own risk.  This needs to be reviewed in the next couple of meetings..

Presentation made to Karen from Marie Curie Holme Towers for £2000.  Karen thanked everyone for the donation and advised that everyone is welcome to pop in and see the new refurbishments.  Ring Karen on 02920 426068 or email her on Karen.jones@mariecurie.org.uk.  Photos were taken and Karen advised that she would get the photo and write up into the Penarth Times especially as we haven’t had much luck getting articles published.  Liz thanked Karen for coming. 

Evelyn brought in a large batch of score cards that she has personally produced.  It was agreed that she should be reimbursed in full for the inks, card and any other costs she had incurred doing this.  Everyone thanked her for her hard work.

Balls out.  It was confirmed that Captains need to sort on the night.  If it cannot be sorted on the night bring up at these meetings.

Ann Young was presented with a beautiful bouquet of flowers to show everyone’s appreciation of all her hard work as being a Treasurer.
